The problem
Exhibitors spend heavily on a booth, then the leads sit in a spreadsheet. Follow-up after the show is slow and generic, or it never happens. Outreach before the show rarely books real meetings.
What I built
A done-for-you AI outreach system that covers the whole show cycle: qualifying attendees and booking booth meetings before the show, scoring leads in real time at the booth, and following up afterward. It works with or without the exhibitor’s CRM. When a lead replies, the conversation goes to a human rep along with notes.
How it works

- Two-agent email system. An Analyzer agent reads the prospect, their company and their fit with the exhibitor, then picks the angle. A separate Writer agent drafts the email from that analysis. Splitting reasoning from writing made each agent easier to test and tune. Prompt sets cover prospecting, post-show follow-up, re-engaging dormant accounts and general touchpoints.
- Real-time booth scan enrichment, cut from ~71 seconds to ~7. Each scanned badge is enriched with company and role data, then scored for fit. The first version was too slow to use at the booth: long prompts and heavy inputs drove up token counts, and processing time rose with them. I rewrote the prompts, trimmed the inputs and added caching so repeat lookups skip the outside call. Now results come back while the visitor is still at the booth.
- SMS event assistant (“Justin”), deployed at Flywheel Tulsa’s Big Ride for two years. It answered attendees’ day-of questions by text, then compiled those conversations into feedback for the organizer on what to improve. After the event, it handled leftover issues like lost items.
- Per-scan API. Lead retrieval platforms can call QORD for fit scores, company summaries and post-show emails under their own brand.
- Compliance from day one. QORD acts as a data processor, with a data handling policy, a cyber incident response plan and cyber insurance in place.
Where it landed
QORD is a working product that hasn’t gained commercial traction yet. The systems behind it carry straight into my event technology work: agent design, prompt and token optimization, real-time enrichment, and compliance.
